Mailbox Setup on a Secondary Domain

This guide covers the internal-only process for creating a mailbox on a secondary domain in a PhotoBiz or Zibster account.

Access Level Required: Level II or higher
Estimated Time: Under 10 minutes
Client Impact: The website will be temporarily not visible during this process

Important Notes

  • Mailboxes cannot be created on secondary domains by clients

  • The mailbox must be created internally

  • The client must provide the exact email address in writing (chat, ticket, or email)

  • The website tied to the domain will be temporarily unavailable while domains are swapped

  • Check DNS on the secondary domain to confirm mailbox records are in place

  • Do NOT delete domains from the intranet — doing so will require a name server update

Pre-Requisites

Before starting, confirm:

  • The secondary domain is already added to the account

  • The client has confirmed the exact mailbox name

    • Example: info@secondarydomain.com

⚠️ Do not proceed without written confirmation of the mailbox spelling.

STEP ONE

Temporarily Modify the Secondary Domain

This step allows the system to accept mailbox creation.

  1. Go to the Domains tab

  2. Locate the secondary domain

  3. Click Edit Full

  4. Add a 1 to the domain name

  5. Save

Example:
clientdomain.com → clientdomain1.com

⚠️ Do NOT delete the domain from the DNS section. 

Confirm the secondary domain now reflects the modified domain name.

STEP TWO

Temporarily Swap the Main Domain

  1. Copy the current main domain and save it somewhere safe

  2. Click Edit Full on the main domain

  3. Replace it with the original secondary domain name

  4. Save

At this point:

  • The secondary domain is temporarily acting as the main domain

  • The website may briefly appear offline (expected behavior)

STEP THREE

Create the Mailbox

  1. Open the Mailboxes section in the Control Panel

  2. Click Set Up New Mailbox

  3. Confirm the domain shown is the secondary domain

  4. Enter the mailbox name exactly as provided by the client

  5. Set a temporary password

  6. Click Submit

STEP FOUR

Restore Original Domains

Restore Main Domain

  1. Edit the domain again

  2. Replace it with the original main domain

  3. Save

Restore Secondary Domain

  1. Edit the secondary domain

  2. Remove the 1 from the domain name

  3. Save

Once complete:

  • Confirm both websites load properly

  • Confirm MX, SPF, and Autodiscover records are present on the secondary domain

STEP FIVE

Activating DKIM

  1. Assign the ticket to John for DKIM activation once mailbox records are confirmed

  2. John will:

    • Activate DKIM

    • Assign the ticket back to you in the Domains tab

FINAL STEP

Notify the Client

Once:

  • The mailbox is created

  • DNS records are confirmed

  • DKIM has been activated

Send the confirmation email.

Mailbox Setup is Complete Email

Reminders

  • Never perform this process without documented mailbox spelling

  • Never delete domains from accounts

  • If anything goes wrong, immediately revert domains to restore site visibility

  • This process should never exceed 10 minutes
